As Laminar scales and grows, we are hiring a People & Office Operations Coordinator to support the day-to-day operations of our People and Facilities functions and keep our office running smoothly. This role is central to keeping the company running as we grow — from bringing on new hires and keeping our workspace stocked and organized, to helping manage a major transition in our physical footprint. You'll work closely with the CEO, CTO, Ops team and cross-functionally with Finance, IT, and Hardware to keep core processes moving.
What You Will Own
- Support the full recruiting cycle: posting roles, assisting with scheduling interviews, and coordinating reference checks
- Own new-hire onboarding logistics — account and equipment provisioning, scheduling onboarding sessions, and ensuring a smooth first-week experience.
- Representing Laminar at career fairs and events
- Support the offboarding process for departing employees, including checklists, equipment return, and access removal.
- Coordinate 30/60/90-day new-hire check-ins and manage contract renewals for interns and contractors.
- Help plan company culture initiatives and team events.
- Pointing employees to employee resources such as Benefits offerings, Employee Handbook, and more.
- Keep the office stocked and running — restock supplies, coordinate with the shared-space operator (Greentown Labs) on maintenance issues
- Manage keycard/fob access.
- Handle daily logistics: process incoming mail and packages, manage conference room scheduling, tidying the space, and greet and direct visitors.
- Order and manage office essentials — snacks, supplies, and branded materials
- Track membership and facility renewals.
- Monitor and triage the "Ask Ops" channel, relay building and IT notices to the team
- Help plan and order for team lunches, all-hands meetings, and company gatherings.
- Support light IT-adjacent tasks like setting up a new hires desk and maintaining a rough equipment inventory.
- Support day-to-day administration of Ramp: reconciling receipts and assisting employees with reimbursement requests.
- Submit expense reports for office purchases and process invoices from facilities vendors.
- Help maintain accurate vendor and purchasing records in coordination with Finance.
- Support Laminar's phased office relocation/space expansion, partnering with leadership on move logistics, timelines, and mover coordination.
- Coordinate the hardware and equipment move (workstations, lab/hardware equipment) in partnership with the IT and Hardware teams.
- Manage office setup at the new or expanded space — furniture, supplies, signage, and vendor management.
- Serve as an on-site point of contact for space-planning updates throughout the transition.

About You
- 2+ years of experience in office administration, HR coordination, or executive/administrative support, ideally at a startup or fast-paced small company.
- Comfortable managing multiple workstreams at once and switching between people-facing and logistics-heavy work.
- Familiarity with expense platforms (e.g., Ramp) and general office/vendor management tools is a plus, but not required.
- Strong judgment and discretion when handling confidential employee information.
- Excellent written and verbal communication skills.
- Comfortable working on-site and hands-on during a physical office move, including light coordination with movers and vendors.
- Can physically lift up to 30lbs.
- Prior exposure to a hardware, lab, or manufacturing environment is a plus given the hardware relocation component of this role.
